Make an Appointment or Meeting Private

1. Create or open the appointment or meeting that you want to make private.
2. On the Appointment tab, in the Options group, click Private.

Note: You should not rely on the Private feature to prevent other people from accessing the details of your appointments, contacts, or tasks. To ensure that other people cannot read the items that you mark as private, do not grant them Read permission to your Calendar, Contacts, or Tasks folders. A person with Read permission to access your folders could use programmatic methods or other e-mail applications to view the details of your private items. Use Private only when you share folders with people whom you trust.

Outlook 2007: Link a Task to a Contact

1. Open the task.

2. At the bottom of the task window, click Contacts.

*If you do not see the Conacts button, do the following:
a. On the Tools menu, click Options.
b. On the Preferences tab, under Contacts and Notes, click Contact Options.
c. On the Contact Options dialog box, under Contact Linking, select the Show Contact Linking on all Forms check box.
3. In the Select Contacts dialog box, under Items, select the contact that you want to link to this task.
* To select multiple contacts, click one contact, hold down CTRL, and then click each additional contact.
* To view linked items from a contact, open the contact, and on the Contact tab, in the Show group, click Activities. To view a specific item type, in the Show list, click the item type.

Share Your Outlook 2007 Calendar via E-Mail
If you want to share your calendar with colleagues, here’s how:

1. Open your calendar, and then click Send a Calendar via E-mail.

2. Select the period that you want to share (such as today, tomorrow, or the next 7 days).

3. You now have an e-mail message ready to send with your selective calendar details attached. Enter the e-mail addresses of those you want to receive it, and then send the message.

Run a rule periodically but not all the time

1. On the Tools menu, click Rules and Alerts.

2. In the Rules and Alerts dialog box, turn the rule off by clearing the check box next to the rule.

3. Click Run Rules Now.

4. In the Run Rules Now dialog box, under Select rules to run, select the check box next to the rule that you want to run.

5. Select the folder that you want to apply the rule to.

6. Select the category of messages that you want to apply the rule to.
For example, you can apply the rule only to unread messages in a folder.

7. Click Run Now.
